Edit someone's access

Change a name, role, assigned programs or linked children, and revoke or restore access.

People lists memberships under Staff (owner, organization administrators, institution administrators and teachers) and Families (parents). Each row shows the person's name, email, what they can reach, an Active or Access revoked badge and their role.

Steps

  1. Open the row menu (Actions for {name}) and choose Edit access.
  2. Change the Full name or Role as needed.
  3. For a teacher, tick or untick Assigned programs. For a parent, tick Children and fill in Relationship to {name} for each child.
  4. Set Access to Active or Revoked.
  5. Choose Save changes. The page confirms with Access updated.

Revoking and restoring

Setting Access to Revoked takes effect immediately. The person's next request is refused, their cached records are cleared, and the workspace shows them This account has no school access. Their history stays in the records. Set Access back to Active to restore them; do not send a new invitation.

Limits

  • You cannot change your own role or access. The dialog says Your own role and access are protected. Another administrator can change them.
  • Organization administrators can edit teachers and parents across their organization. Institution administrators manage teachers and family links in their assigned institution; they cannot change organization-wide parent profile fields or links at other institutions. Only the owner can edit administrator roles.
  • Nobody can demote, revoke or edit the owner. Ownership changes only through Transfer ownership.
  • A teacher can also be a parent: tick children on a teacher's account and they get a Family page too.
