Academic calendar and timetables

Set each program's weekly timings, add terms, and record closures, extra sessions and events so attendance follows the school year.

Calendar holds three things: the school's terms, each program's weekly timetable, and dated entries such as Eid closures, make-up classes and parent meetings. Everyone with an account can open it; only owners and administrators can change it.

Browse the calendar

Calendar starts in Month view and remembers your last view on this browser. Use Calendar view to switch between Day, Week, Month and Year. Arrows move by the selected view; Today returns to the current date and Jump to date opens the date picker. Times use the timezone configured for the institution.

  • Month shows a seven-column date grid with classes, events, schedule changes and closures. On phones, colored dots and item counts keep the grid readable. On phones, select a date to show its agenda below the month. Select an item to read its full details.
  • Day and Week show times down the side and simultaneous entries beside one another. Closures and untimed entries appear above the hourly grid. On a phone, scroll across Week to reach the other days.
  • Year shows all twelve months with colored date markers. Select a month heading to open Month, or a date to open Day.
  • Use Calendar program and Calendar type to filter the views. A program filter still includes whole-school events and closures. A closure suppresses regular classes, while a cancelled dated session is labeled explicitly.
  • Multi-day closures span dates with one bar per week in Month and Week views.
  • Use Layers to toggle programs and entry types independently. Choices are remembered for your account on this browser; Show all resets them.
  • Administrators can click a date on desktop, or choose Add from the phone agenda, to create an Event, Closure or Extra session with that date selected.
  • Administrators can choose Add entry to create an entry starting on the selected date. Opening an item offers Edit entry or Edit timetable when their role allows it.
  • U.S. federal holidays appear automatically, including observed dates. They are reference dates, not school closures: classes and attendance stay scheduled unless the school adds a Closure. Select U.S. holidays in the type filter to browse them.
  • Terms, weekly timetables and the full dated-entry list are always visible below the calendar, including edit, delete and date-range filters.

Repeating events

For an Event, choose Daily, Weekly, Monthly or Yearly in Repeats, then set the repeat end date. Repeating events occupy one date per occurrence. Monthly and yearly repeats skip dates that do not exist, such as February 30.

Open a repeating event and choose Edit entry. Choose This occurrence to change one date, or Entire series to change the repeating event. An edited occurrence remains a separate, non-repeating event; later series edits leave it in place.

Calendar subscriptions

Choose Subscribe to create a private calendar link using your selected program layers and holiday preference. Copy the link into Google Calendar (Other calendars → From URL), Outlook (Subscribe from web), or Apple Calendar (New Calendar Subscription). Calendar apps refresh on their own schedule. The feed includes the last 30 days and next 365 days.

Keep your subscription URL private. Replace link creates a new URL and invalidates the old one; use it to update program selections. Revoke link stops future feed access. Events already downloaded by another app may remain until that app refreshes or removes the subscription.

Weekly timetable

  1. Open Calendar, scroll to the weekly timetable, then choose Edit timetable next to a program, or open the program from Programs and choose Edit program.
  2. Under Weekly timetable choose Add session, then pick the day and the start and end times. A program can meet more than once a day.
  3. Choose Save changes. The Programs list and each student's record show the timetable, for example Mon–Thu 4:30–6:30 PM.

Terms

Below the calendar, choose Add term, enter a name such as Fall 2026 and its first and last day. Terms cannot overlap; the dialog says These dates overlap another term. Adjust the dates. if they do. The current term shows a Current badge.

Closures, sessions and events

Choose Add entry and pick a Type:

  • Applies to chooses the whole school or one program. A closure for one program never affects another.
  • From and To are inclusive. For a range longer than a day, Only on limits the entry to some weekdays: a Ramadan timetable for Monday to Friday, say. Leave every day unchecked to cover the whole range.
  • A closure always wins over a session on the same day. A whole-school session opens every program that day.
  • The note is shown to everyone who can see the entry, including parents.
  • Single-day entries in the list below the calendar show the Hijri date beside the Gregorian one. It follows the Umm al-Qura calendar and can differ from the local moon sighting by a day, so enter Eid as the date the school will actually close.

What the register does

On a closed day the register header explains why, for example Closed: Eid al-Fitr or No session on Fridays, and each student shows No session instead of a status. A mark recorded before the day was closed stays visible and can still be cleared. If someone tries to save a mark anyway, the workspace refuses it: No session is scheduled for {program} on {date}.

Edit, delete and undo

The row menu offers Edit term and Delete term, or Edit entry and Delete entry. Deleting shows Undo for ten seconds. Deleting a closure makes attendance possible on those days again; it never changes marks already recorded.
